Driver and Vehicle Transactions
Using HWeb to Reconcile Driver Payroll / Using Driver Transactions and Vehicle Transactions
HWeb Agent is used to reconcile Driver Payments, and even Independent
Operators payments through the Driver Reconciliation and Driver
Transactions features of the HWeb Agent. All of the functionality
describer in this document can be located by following the following
menu instructions: HWeb Agent>Tools>Agent Tools>Driver Reconciliation and Driver Transactions.
Driver Transactions can also be accessed through the Driver
Reconciliation as well. In order to accurately pay both the
owner/operators and the driver themselves for the respective shifts
driven, various crosschecks and processes should be performed on the
data prior closing the transaction period. A summary of the necessary
operation is directly below with the detailed instructions below that:
1. PERFORM DRIVER SHIFT RECONCILIATION
2. PERFORM PRE-PAYROLL LINKAGE CROSS CHECKS
3. ADJUST SHIFT RECON AS NECESSARY
4. UPDATE THE SHIFTS
a. PERFORM PRIOR PERIOD SHIFT ADJUSTMENT UPDATE
b. UPDATE CURRENT PERIOD SHIFTS
5. VERIFY/CREATE PERIODIC DRIVER TRANSACTIONS (must be in Driver Mode)
6. VERIFY/CREATE PERIODIC VEHICLE TRANSACTIONS (must be in Vehicle Mode)
7. CREATE BALANCING TRANSACTIONS (PAYCHECKS)
8. PRINT THE BALANCING TRANSACTIONS
9. PRINT SUPPORTING PAYROLL DOCUMENTATION AND REVIEW
10. CLOSE PERIOD – IRREVERSABLE so double-check all data prior to close
1. PERFORM DRIVER SHIFT RECONCILIATION
a. All
reservations reconciled generate system-borne driver transactions such
as Driver Commissions, Driver tips, etc. and rolls this information up
to the Vendor Statement
2. PERFORM PRE-PAYROLL LINKAGE CROSS CHECKS – purpose
of this step is to verify that ALL drivers and vehicle are both linked
to a particular vendor and have a transaction start date
a. Open up HWeb Agent and minimize the applicationb. Create
a grid desktop that verifies that all drivers and vehicles are linked
to a vendor and that they all have a transaction start date enabled.
The grid should show a vehicle grid that shows both the vendor it is
attached to as well as the start date of Vehicle transactions. Like
wise, a grid setup for drivers should show the vendor the drivers are
attached to as well as the driver transaction start date.
i. This
will bring up a desktop that shows on the left side, the linkages of
driver and vehicle transaction start dates and if the driver/vehicle is
linked to a vendor. Adjust and linkages that are not present or
incorrect. On the left side of the desktop is a grid that tells you if
the vehicle or driver paycheck marks are present in the reservation ID
to the left of the grid. A quick way to go in and out of the grid is to
highlight the line, press <F3> and it will load the reservation
in the HWeb Agent.
ii. While
still in the ReconCheck desktop, perform the second data check, the
Driver/Vehicle Pay/No Pay Check. This is done by using the right side
of the desktop under the respective field, DriverPayID/VehiclePayID,
zero (0) means DO NOT PAY the driver/vehicle and minus one (-1) means
PAY the driver/vehicle. Highlight the line of the reservation and press
<F3> to bring you into the respective reservation record and
adjust the driver/vehicle pay checkboxes as necessary, then save each
reservation.3. ADJUST SHIFT RECON AS NECESSARY
4. UPDATE THE SHIFTS - This
propagates all the updated information from shifts to the Driver
transactions table as well as creates the system-borne Driver
Transactions
a. UPDATE PRIOR PERIOD ADJUSTED SHIFTS (if necessary)
i. Use
the ReconCheck desktop and in the ‘Pay Driver<>Pay Vehicle’ grid,
locate the shift numbers from the prior periods that have been adjusted
since the last close
ii. Make the necessary shift adjustment to those selected shifts
1. Note: DO NOT UPDATE ALL SHIFTS FROM PRIOR PERIOD, ONLY SHIFTS FROM GRID
b. UPDATE ALL SHIFTS FROM CURRENT PERIOD
i. Go into Driver Reconciliation and select starting and ending dates for the entire pay period
ii. Select all of the shift records by pressing <CTRL + A>
iii. Update
the shifts by either right-clicking in the Shift Summary and selecting
‘Update Selected Shifts’, or by press the elongated ‘Update’ button
below the Reservation Summary section
