Setting and Using Profile Flags

Profile Flags

Effective with version 1.89i a client profile (Individual only)  may be “flagged” to display a message to any agent or dispatcher that views or uses the profile indicating that the profile information needs to be updated. The message will continue to appear each time the client profile is accessed until the information is updated and the flag indicator removed

To set or enable the Profile Flag:
  1. Enable in configuration
  2. Open profile and set flag on Info Status tab

Enable in Configuration

From HWeb Agent or HWeb Admin:
Tools >  Configuration > Advanced Features > Profiles Tab
 Set Profile Information Verification Type
  • Never (default) ~ Feature is disabled
  • Always ~ Requires profile update before Reservation may be added / modified
  • Warning ~ Alerts user to needed changes, but allows user to clear the warning and proceed.

Set / Enable Flag in Profile

From HWeb Agent or HWeb Admin:
Tools > Profiles > Edit Existing Profiles
Locate and open the profile to be edited (flagged)
Locate the Tab labeled:  "Info Status"
Under text: Set Profile Status To:
Click Button:  "Needs Verification" - this changes value of Info Status field to: "NEEDS VERIFICATION"
 Press F4 key to save and close the profile
The "Flagged by" field will be updated to reflect the user name and date / time that the flag was set.

Use of the Profile Flag process

When profile is next used to create a reservation, a profile warning dialog will appear:

Profile Verification:
This profile has been flagged for verification. Please verify this profile data.

Click "OK"   to clear the warning.

The selected profile will be opened for editing.
Review the information in the profile and ensure that it is correct.
If information (such as address, credit card, or other) is updated and modified, you should then go to the Info Status Tab (which is Shaded if Profile is set to Needs Verification).
Click   "Verified" button at the bottom of the screen and then F4 key to save the edited profile. You will then be returned to the reservation entry process.

NOTE: As of this release, there is not a way to indicate what field / fields within the profile need to be verified or updated.  The flag to review and update the profile is simply toggled to ON or OFF.

Block Update

When you desire to flag an entire block of profiles (such as inactive profiles with no activity in several months), this may be accomplished via the HWeb Admin application.

Launch HWeb Admin and browse to  Profiles > Flag for Info Update.
In the  Flag for info update configuration pane (right hand side of the window), you have several configuration options:

  • Last Used BEFORE field:  All profiles in the database will be scanned for recent activity. Any profiles that have not had any recorded reservations SINCE the selected date, will be set to "Flagged" and therefore must be updated and set to "Verified" before a new reservation may be recorded (unless configuration value at beginning was set to "Warning").
  • Update Speed:  the speed at which the server will "spin" through the records and merge profiles. Companies with larger client databases may select "Normal" so as not to effect network system resources.  For smaller databases or for companies with faster servers, choosing "Faster" or "Fastest" should be fine. 
  • Reflag Updated:  select this option if your desire is to force another update of inactive profiles which may have been both flagged and then unflagged / verified previously.

When ready to run, click the "Execute" button at the base of the screen.
