Understanding Different Profile Types in HWeb
The process of creating profiles is straight forward, yet it helps to determine first, exactly what kind of profile you will be creating and how it will be used. To begin the profile creation process:
From within HWeb Agent, Click Tools - Profiles - Create New Profile (F9) to open the Profile Detail window. You are presented with several Tabs upon which you will set and configure the defaults and rules for this profile. The very first tab you are taken to is the General tab where you must first select the Profile Type:
Charter
Generally, but not necessarily, used for temporary events, such as conferences and conventions or where a specifc Group Profile (ex HILTON Hotels) wishes to be billed separately for two different events (ex: Microsoft conference, BMW convention). In this example, you would create a Group Profile (see below) for Hilton, and then Charter Profiles for Microsoft and Hilton, linking both of them back to the Hilton Group Profile.
Group
Any account which needs to have reservations direct billed or invoiced, needs to be setup as a Group profile. A single indivdual whose travel will be invoiced should be setup as a Group Profile as well. Most companies and business will also be setup as a Group profile, though payment for Group Profile reservations may be paid in other ways (cash, check, credit card, etc.). Any person or company who will need to have unusual fare, gratuity or service charge rules, discounts or overrides should also be setup as a group profile.Individual
This is the most common profile type. It is designed for the actual passengers who ride in your vehicles and utilize your services. Pickup address and payment type defaults may be set which greatly speed the reservation entry process. An Individual Profile may then be linked, or made a member of, a Group Profile. For example: John Smith is an executive for ACME Corp. You would create a Group Profile (see above) for ACME where all the payment and reservation parameters are configured. You would then create an Individual Profile for John Smith, listing his personal preferences, home and work addresses, contact information, etc. On the Individual Profile, you would go into the Group Membership field on the General Tab, and ‘link’ him to ACME Corp.Sales
A sales profile should be used for any internal or external staff or entity to whom you may pay a sales commision. This would include a Travel Agent/Agency, internal sales staff, travel wholesaler, etc. If you wish to create reports based on sales volume brought into your company by an individual or othe business, they should be given a Sales profile type. Example: Bill Adams is a salesman for Hudson Transportation Services and has a Sales Profile in the system. . When Bill brings in a new corporate account, Wayward Widgets, a Group Profile is created for Wayward, and on the General Tab of the profile, we enter Bill Adams in the Salesman Field. In this manner, we can report on the amount of Business that Bill Adams has brought to our company and track commissions if needed.
