Adding New Users, Usernames, Passwords & Privileges

Creating/Assigning HWeb User Names and Passwords

Overview

The System Administrator of your organization maintains both system and user privileges. You must have System Administrator privileges to add, modify, remove users, passwords and privileges. Every user has his/her own username and password. When they log into the HWeb system, their username and password is validated and then tracked by the Hudson application. Each reservation contains the username of anyone who creates or changes a reservation.

To access the system and user privileges open any HWeb product, select the Tools menu, Configuration, Application Configuration and then User Access.

To add a user press ADD, and enter a User ID. The User ID will be the name entered when logging into the Hudson application. This can be a first name, initials, or random alphanumeric combination.  Enter a password for this user. Hudson recommends setting the password equal to the user id, then check the box labeled “Force password to expire”. By taking this step, the first time the user logs in they will be prompted to set a password of their choosing. Now fill in First and Last name (used on reports). Once this screen is filled in press PRIVILEGES button and you will be able to review an extensive list of application privileges, selecting those that should be endowed upon the new user.  As you scroll down the list of privileges, placing a checkmark in the check box enables that privilege.

If you have further questions about what a specific privilege controls or which privileges are required in order to achieve a specific job function, please do not hesitate to contact Hudson Tech Support.

Typical Configurations

There are basic level configurations that staff will need in order to fulfill their job functions. We have listed below the basic job functions within most organizations. For each job function, we have listed the minimum recommended privileges that need to be assigned and enabled.  If a person in the normal function of their job is unable to complete an action, or if a menu option is "greyed out" and cannot be selected, then additional privileges may need to be assigned.  If you have a question about which privilege needs to be enabled please contact Hudson Tech Support.
  • Reservations Agent

Agent (reservationist)

  • Allowed to use HWeb Agent – Allow user to access the HWeb Agent

  • Export dispatcher grid data – Allow user to send grid data to a CSV file

  • Driver reconciliation – Allow user to perform driver reconciliation functions
  • Credit Card Processing – Allow user to process credit card billing information via Admin
  • Create manual CC transactions – Allow user to make manual credits/charges within a reservation (used with Hudson’s Integrated Credit Card System)
