Email Confirmations

This article describes how to create a new email confirmation or change an existing one.
 
The email templates must be changed on the web and in the local system.

LOCAL


Create A New Email Confirmation
1.  Open the HWEB Agent then go to Tools, Configuration, Application Configuration, and click the Templates button.
2.  In the Template type box click the drop down and choose Email confirmation.
3.  You should now see a list of all of your email confirmation templates in the template list box below this.
4.  Each of your templates are created for sending specific emails according to the type of reservation.  This is done using Match Keys.
5.  To create a new email confirmation click on the new button (white piece
of paper icon)  Enter the email alias.  The alias should be the same
throughout.  Use the match keys to specify what the template will be
used for.  (ie. Roundtrip).  Click back to the General tab.  This is where we specify the files being used by the template.  There are three types of files.  First is the orimary file and is used as the body of the email.  The second is a secondary file and is used as an attachment to the file.  The third is the header file and is used in the email header.  Each template must be setup to us, at minimum, a primary file and a header file.  Double click inside the primary file box.
6.  You will see a new window in your templates directory.  Find the
file you wish to use as your primary email file.  Double click on that file you wish to use.
7. Repeat steps 7 for the header file.

8.  You will have to save the changes to the template if you change the
primary file, secondary file, or header file you are using.  Click the updates button and then Save changes to DB.



Edit an Existing Email Confirmation
1.  To edit an existing email confirmation first highlight the appropriate template.  When you do, you will see more specific information about this
highlighted template on the right side of the Template Maintenance
window.  Click on the Match Keys tab.  You will see what this email is being used for here.  Click back to the General tab.  This is where we specify the file that is going to be sent as the body
and header of the email.  Double click inside the primary file box.
2.  You will see a new window in your templates directory.  Find the file you wish to edit or use as your primary email file.  To edit the file, right click on it, and choose open.  When you are done making changes, save and close the file.
3.  Hit the Cancel button in the window.  You do not have to save the template because you are using the same file.
4.  Close out the Template Maintenance window.


Always test your email when you are done.  If you create a new template you may have to restart your bridges, and you will always have to refresh your configurations (F11).


WEB


Create A New Email Confirmation
1.  Go to your resutil page and login.  http://companyname.hudsonltd.net/resutil

2.  Click on the Email tab, then click option 3 Match Key Template Configuration.

3.  Click on the add new template button at the bottom of the page.
4.  Enter a key (number) Alias (should all be the same) and Description of the template (ie.   Email oneway).
5.  Next to the field titled Body/Primary file: you will see the file
being used by the email template.  Next to that is an Edit button. 
Click it.

6.  You will be brought to a new page where the templates files are displayed.  You can choose to create a new template file by clicking the Add new template file button.  You can also choose to use an existing file by hitting the drop down and finding the file you wish to use.
7.  Click the save template file when you are done.
8.  Click the Template configuration link at the bottom of the page to get back to your previous page.
9.  Click the update button to save the template.

Edit an Existing Email Confirmation
1.  Go to your resutil page and login.  http://companyname.hudsonltd.net/resutil
2.  Click on the Email tab, then click option 3 Match Key Template Configuration.
3.  Hit the drop down in the Templates filed at the top of the page and choose the email template you wish to change.
4.  Next to the field titled Body/Primary file: you will see the file being used by the email template.  Next to that is an Edit button.  Click it.
5.  You will be brought to a new page where the file is displayed.  Make your changes, then click the Save template button.
6.  Click the Template configuration link at the bottom of the page to get back to your previous page.

*** If you wish to create an email confirmation (web and/or local) that is for a specific group profile you can. 
First you need the group ID.  In the local system, that is the internal number assigned to the profile when it is created.  On the web, that is the WebID you assign to the profile when you create it. 
Once you know that, go to your email confirmation template.  Where the Match keys are assigned, there is a blank Match Key 4 option.  Here you enter the letter ‘Y’ followed by the groupID.
ie.  For a group profile with id 97562 enter:    Y97562
