View Export and Send From Dispatch Grids
Exporting Data from HWeb Dispatcher and Sending via e-mail
Effective version 1.93 (4833), users who have the priveledge to login to HWeb Dispatcher can export any grid’s data and then email it to someone in one single step. This makes sharing of grid data much easier. The recipient can then open the data (it is sent as a csv (comma separated value) document) and manipulate with MS Excel or other spreadsheet application.
1) Email Template Construction
1A) Create a text document with the following content:
To: Export Grid <%DESTINATION%>
From: %COMPANY% <%REPLYTO%>
Subject Exported Grid
Save the document in your Email Templates folder with the name: EmailHeader-Export.txt
1B) Create a text document with the following content:
Exported grid file data attached
Save the document in your Email Templates folder with the name: EmailBody-Export.txt
1C) Open your Template Configuration Configuration -> General Configuration -> Templates
File -> Add new template:
Template Alias (suggested): zExportGDF
Template Type: Email Confirmation
Primary File: (Double click to open and browse to: EmailBody-Export.txt)
Header File: (Double click to open and browse to: EmailHeader-Export.txt)
Click Update and then Save Changes to DB
2) Custom Token Creation
Configuration -> General Configuration -> Tokens
File -> Add New Token
This is a list of default Email addresses that you will be able to select from, when performing the export and send action. You will be able to add other addresses, ad-hoc, when performing the action as well. This list will simply expedite the process. Separate all addresses with a carat ” ^ ” which may be found above the number 6 on most US keyboards.
3) Test the process
Open a Dispatch grid that contains the information you wish to export.
Click some field or cell in the grid to make sure it is the one “in-focus” (the header bar will turn blue)
Select File - Export and Send
Give your File a Name: Exported client data (ex) and select the location you would like to save the file (ex: Desktop, My Documents, etc.)
Once the data is exported and the file created (exported client data.csv), a new “Send Document” window will automatically open. If you click to expand the Custom Address List on the left side, you can view and select from the default email address iist created in step 2 above. You may also type new address in the “Additional Email address field” and then click the “Add” button to add it to the “list to send” window. Repeat the process, entering additional email addresses you would like to send the data to.
Cick “Send EMAIL” button at the bottom to generate the outgoing email.
The message is sent immediately and should arrive in the recipients email Inbox very soon.
The attached file may be opened or imported into most any spreadsheet or database application.
If the email is received, but instead of the csv attachment you get a page-long string of random letters and numbers, then you likely need to add a Carriage Return after your last line of text on the EmailBody-Export.txt template.
