How do I Add a Round Trip Discount

Setting up a Round Trip Discount in HWeb Agent (local software) can be a quick and easy or slightly longer process, depending on the level of complexity of your pricing model.  HWebAgent is fully configurable to permit a round-trip discount based on the following parameters:

  • Airport/Major Port
  • Non-Airport Trips
  • Passenger Type
  • Service Type
  • Payment Type

Airport/Major Port

To set a round trip discount based upon a specific airport or major port (train or bus station, cruise terminal, etc), open HWebAgent, Dispatcher or Admin and go to Tools - Configuration - Fare and Services. Click the Airports-Major Ports tab and scroll to the right until you reach the following columns; where you will adjust the entries as appropriate:

Return Discount Type - selected from the drop down menu and used in conjunction with Return Discount Rate column.

  • None - Default setting - no discount based on Airport/major port
  • Fixed - Discount amount is fixed for the return reservation.
  • Fixed PP (Per Passenger) - Discount rate applies to each passenger on the return reservation.
  • Fixed, single/pair/group - Used in conjuction with Return Discount Rate-Return Discount Rate2 - Return Discount Rate 3.  The Discount amount is fixed for the return reservation for a single passenger (discount $ is listed in Return Discount Rate column), pair of passengers ( discount $ is listed in the Return Discount Rate 2 column) and for a group of passengers (Discount $ is listed in the Return Discount Rate 3 column).
  • Fixed PP, single/pair/group -  Return discount amount is fixed per passenger for the return reservation for a single passenger, pair of passengers or group of passengers.  The Discount amounts are set in the next three columnhs (Return Discount Rate, Rate 2 and Rate 3).
  • Percent fare - Discount will be a percentage of the total or final fare on the return reservation.
  • Percent fare (rounded) - Discount will be a percentage of the total or final fare, but the final discount will be rounded to the nearest whole dollar amount (either up or down) on the return reservation.
  • Percent fare (rounded up) - Discount will be a percentage of the fare, but the final discount will be rounded UP the nearest whole dollar amount on the return reservation.
  • Percent base fare - Discount will be calculated as a percentage of the base fare only and applied to the return reservation.
  • Percent base fare (rounded) - Discount will be calculated as a percentage of the base fare and will then be rounded (either up or down)  to the nearest whole dollar amount and applied to the return reservation.
  • Percent base fare (rounded up) - Discount will be calculated as a percentage of the base fare and will then be rounded UP to the nearest whole dollar amount and applied to the return reservation.
  • Fixed both legs - Discount amount is a fixed amount and will be applied against both legs of the round trip reservation.
  • Fixed PP both legs - Discount amount applies to each passenger and will be applied against both legs of the round trip reservation.
  • Fixed, single/pair/group, both legs - Similar to the Fixed, single/pair/group outlined above, except that the discount will be applied to both legs of the round trip reservation, not just the return leg.

Return Discount Rate - Enter the dollar amount (1, 1.50, 3.25, 10, etc.) or the percentage (5, 10, 25, etc) to be applied as the discount for the reservation, or the first passenger, as determined by the Return Discount Type selected above.

Return Discount Rate 2 - Enter the dollar amount (1, 1.50, 3.25, 10, etc.) or the percentage (5, 10, 25, etc) to be applied as the discount for the reservation, for a pair of passengers, as determined by the Return Discount Type selected above.

Return Discount Rate 3 - Enter the dollar amount (1, 1.50, 3.25, 10, etc.) or the percentage (5, 10, 25, etc) to be applied as the discount for the reservation, for a group of three or more passengers, as determined by the Return Discount Type selected above.

Non-Airport Reservations

To set a round trip discount that will apply to point to point, hourly and charter directions,  Open HWebAgent, Dispatcher or Admin and go to Tools - Configuration - Fare and Services. Click the ‘Other’ tab and locate the box labled: Return Trip Discount (non-airport). From within this box, you will select the appropriate Discount Type (see list in the Airport-Major Ports section above) and then set the dollar or percentage in the box labled: Discount.  Click Apply and OK to save your changes.

Passenger Type

Service Type

It is possible to enable or disable a round trip discount by service type. For example, you may wish to allow a round trip discount for a private sedan service, but not want to enable a round trip discount for shared van service, or vice versa.  The actual round trip discount amounts, or values, are determined in the Airport/Major Port and Non-Airport Reservations sections listed above. To Enable or Disable the Round Trip Discount for a specific service type, or group of services: Open HWebAgent, Dispatcher or Admin and go to Tools - Configuration - Fare and Services. Click the ‘Services’ tab. Scroll to the right and locate the column labled: Return Discount?.  If you wish to enable a Round Trip discount for that service, place a check mark in the box in this column.  If there is a check mark already there, and you wish to remove or disable the Round Trip Discount for that service, click the box again to remove the check mark.  Repeat for other services as desired. Click Apply and OK

Payment Type

It is possible to enable or disable a round trip discount by Payment Type. For example, you may wish to allow a round trip discount for a reservation paid by cash,  but not want to enable a round trip discount for a reservation paid by credit card, or vice versa.  The actual round trip discount amounts, or values, are determined in the Airport/Major Port and Non-Airport Reservations sections listed above. To Enable or Disable the Round Trip Discount for a specific Payment Type, or range of Payment Types: Open HWebAgent, Dispatcher or Admin and go to Tools - Configuration - Fare and Services. Click the ‘Payments’ tab. Scroll to the right and locate the column labled: Return Discount?.  If you wish to enable a Round Trip discount for that payment type, place a check mark in the box in this column.  If there is a check mark already there, and you wish to remove or disable the Round Trip Discount for that payment type, click the box again to remove the check mark.  Repeat for other payment types as desired. Click Apply and OK

If you have multiple Discounts…

NOTE: If you have several discount options configured in your system, including coupons, etc., you may elect to disallow the adding of coupon or discount values.  Your two options are to ALLOW ALL DISCOUNTS or to ALLOW HIGHEST DISCOUNT ONLY. If you are doing test or actual reservations and the fares are not calculating properly because of the discounts, you may need to adjust this configuration item. Open HWebAgent, Dispatcher or Admin and go to Tools - Configuration - Fare and Services. Click the ‘Reservation’ tab.  Locate the field labled: Include Discounts. Change the field value to that which is desired.

  • All Discounts - will sum all applicable and eligible discounts and will subtract from the fare.
  • Ony Hightest Discount - will evaluate all applicable and eligible discounts and will subtract only the highest one from the fare.
